03-14-2012 EMAC MINUTESPITTSYLVANIA COUNTY EMERGENCY MEDICAL SERVICES ADVISORY COMMITTEE EMAC 1 PITTSYLVANIA COUNTY EMAC MINUTES March 14, 2012 6:30PM Pittsylvania County Administrator’s Conference Room Captain Martin’s Building Center St Chatham, VA Meeting was called to order by Chairman Cowan. Roll Call: Present: Kermit King, Scott Cowan, Jim Davis, Scottie Adams, Dan Sleeper, Riley Adkins, Marshal Ecker, Absent: 640 Rescue Squad, Steve Finkner, Dr. Dallara, Blairs Fire & Res. Agenda was provided and approved without additional items. Minutes from the previous meeting were approved. Item 1: Status review of reporting to MED 3000. Discussion was made concerning the email sent out by Gary Matthews. (inserted email for review) “Have you or your agency completed their review of all the calls from the beginning to make sure that the residency question was answered, the loaded mileage was included, the narrative was complete and the call was marked “ready to bill”.? If not, could you have that completed as soon as possible and let me know so that in your review if any calls were marked “ready to bill” that weren’t originally marked I can prompt our billing office to go in and pull them down in one sweep and get them billed out. Also one last thing, if you could provide me a total number of calls that you believe should have been billed out once your review is complete then I can reconcile that to what we have billed out and then we can be on a clean slate from this point forward and if the number is not the same we can further drill into where the calls have been missed. Please let me know when this has occurred, if you have any questions please let me know. I really would like to close out March with knowing that all calls up to that point have been billed out and start in April with everyone being on the same page, everyone knowing what we need in order for the call to be billed out and move forward successfully together. Thanks, Gary” Chairman Cowan stated that all agencies should be submitting and each agency should verify with MED3000 if you are unsure. PITTSYLVANIA COUNTY EMERGENCY MEDICAL SERVICES ADVISORY COMMITTEE EMAC 2 Item 2: Financial Update Jim Davis provided a financial update from the County Finance Director. Current information is provided below: County Administrator was present and provided some discussion of the information. As the funds continue to come in, all agencies will display funds in the account as they are received. Item 3: Payment schedule change from once per year to quarterly Chairman Cowen brought discussion to the committee about this change. It was agreed that a letter be written to the County Administrator requesting that the ordinance be changed effective January 2013 to allow the members of EMAC be entitled to access the funds in lieu of waiting until after the County annual audit. Motion made by Kermit King, seconded by Riley Adkins. Motion passed. New Business: Scottie Adams requested that Jim Davis provide statistics to the EMAC concerning response times for all EMS agencies in the county. (Information attached as a spread sheet for review).
