Library Board minutes 11182024Pittsylvania County Public Library Board of Trustees November 18, 2024 Chatham Branch Library The Library Board of Trustees met on November 18, 2024. Library board members present included Karen Eades, Sandy Mitchell, Alice Shelton, Shelby Buffington, and Rhonda Griffin. Karen Eades, Chair, called the Library Board meeting to order at 3:15 pm. The consent agenda containing the minutes of the September, 2024 Library Board meeting, the agenda without amendment and the financial and operations reports for September and October 2024 were approved on a motion by Sandy Mitchell, seconded by Alice Shelton. Passed unanimously. Action Items: Rhonda Griffin presented updated library policies to approve: • Public Safety – The definitions of warning and watch were corrected. o A motion was made by Sandy Mitchell to approve the Public Safety Policy as corrected. Seconded by Shelby Buffington. Passed unanimously • Passport Policy – Rhonda presented passport facility policies, which is slated to begin in January 2025. o A motion was made by Alice Shelton to approve the Passport Policies as presented. Seconded by Shelby Buffington. Passed unanimously. • Meeting Room Policy – The meeting room policy with updated occupancy numbers for Gretna and Chatham were presented. o A motion was made by Sandy Mitchell to approve the policy as updated. Seconded by Alice Shelton. Passed Unanimously. • Behavior Policy – The Behavior Policy was presented with an additional bullet clarifying that patrons cannot inhibit other’s use of the library by taking up excessive space or demands. o A motion was made by Sandy Mitchell to approve the Behavior Policy as updated. Seconded by Alice Shelton. Passed unanimously. Information Items: Rhonda Griffin updated the Board of the Brosville renovations. Rhonda passed out Open House invitations for an Open House on Dec 5, 2024. This would be in lieu of a December social. The progress on the bookmobile was discussed. The Board was informed that Rhonda and Hannah, Bookmobile Outreach Coordinator, had visited Matthew Specialty Vehicles in Greensboro to select options and get an updated estimate. Fortunately, Matthews Vehicles had a bookmobile on site that they had just completed for a library in Michigan that was the same size and in the price range as the one that we are interested in purchasing. That made it much easier to select options and see how the bookmobile would be designed. Matthew Vehicles already has a state contract, so we are jus waiting for the estimate and option lists before moving forward. It will take 18 months to 2 years to build the bookmobile. The Danville Regional Foundation grant for the Chatham outdoor terrace has been completed. The close out documents will be submitted shortly. The meeting adjourned at 3:52 pm. Next Joint PPL Foundation and Library Board Meeting is scheduled for January 18, 2025 at 3:00 pm (PPL Foundation) and 3:30 pm (Library Board) at the Chatham Library.
