The Library Board of Trustees met on April 15, 2024. Library board members present included
Karen Eades, Phyllis Roach, Portia Fitzgerald, Sandy Mitchell, Shelby Buffington, York Pilson,
Debra Turner, and Rhonda Griffin.
Karen Eades, Chair, called the Library Board meeting to order at 3:00 pm.
The consent agenda containing the minutes of the March, 2024 Library Board meeting, the
agenda without amendment and the financial and operations reports for March 2024 were
approved on a motion by York Pilson, seconded by Phyllis Roach.

Information Items:
Rhonda Griffin provided information about libraries collecting passport documentation. Several
libraries are using this as an additional revenue stream. The Board agreed that the library should
seek additional information about this service.
The Library Board was updated on meeting with Kentuck Baptist Church about a future library
branch in the Dan River region.
Budget highlights include approved carpet and an additional part-time position at the Brosville
Library Branch. Rhonda provided additional information on a request to replace the 20-year-old
Bookmobile. Information was shared comparing a potential diesel bookmobile (roughly
$440,000 with an 18 to 24-month lead-time) and “used” zero-mile gas Bookmobile ($295,000
already built) that could potentially be purchased with remaining County COVID funds. The
Board agreed to write a letter to the County encouraging the purchase of the pre-built gas
bookmobile using remaining COVID funds.
Chatham updates were presented to the Board, including new carpeting, rearranging staff offices
and stacks, and the larger meeting room. Rhonda also mentioned that she is looking into clearing
an area behind the library for outdoor programs and movies.
The Freedom of Choice project is wrapping up, with only a few invoices and grant close-out
documents left.
The meeting adjourned at 3:51 pm.
