Library board members present included Karen Eades, Portia Fitzgerald, David Law, York Pilson, Debra Turner, Shelby Buffington, and Rhonda Griffin. Karen Eades, Chair, called the Library Board meeting to order at 3:05 pm. The consent agenda containing the corrected minutes of the August, 2024 Library Board meeting, the agenda without amendment and the financial and operations reports for August 2024 were approved on a motion by David Law, seconded by York Pilson. Passed unanimously. Action Items: Rhonda Griffin distributed the updated board packets that were collected at the last meeting. Rhonda informed the board that the current board notebooks were also posted on the library's website under "About the Library". She asked if the board would consider transitioning the board notebooks to the online format. With no objection to the online board notebooks, the board also discussed transitioning to emailing the monthly board packets to save time and cost. Rhonda agreed to text the board members a meeting reminder along with a notification that the packets had been emailed. A motion was made by Portia Fitzgerald that the board notebooks transition to online format and the monthly board packets be emailed, accompanied by a reminder text to board members. David Law seconded the motion. Passed unanimously. Information Items: Rhonda Griffin informed the board that library staff had completed training to be passport agents. The training certificates and facility application documents have been submitted for approval. We are currently just awaiting approval. Rhonda updated the board on the carpet at the Brosville Library. The installers arrived earlier than expected, causing the library to close sooner so that the books could be boxed up and placed in a storage container. The library closed to the public Sept 9`n, with installers moving book shelves and removing carpet beginning Sept 161 Rhonda informed the board that the Next Step Grant to Danville Regional Foundation had been approved. Trees have already been removed and the library is currently looking for someone to install the terrace. Rhonda reviewed funding options for the bookmobile, including the County providing the $100,000 deposit. Debra Dodson, submitted a grant application to the Lion's Club and Hughes Foundation. JTMM will be the next application. We are hopeful that funding for the bookmobile will be raised through grants. Rhonda presented to the School Board on August 13 inquiring if the school system had any available land in the Dan River District that could be used for a public library. We are still waiting for a response. The meeting adjourned at 3:36 pm. Next Executive Board Meeting is scheduled for Oct 7, 2024 at 3:00 pm at the Chatham Library. Pittsylvania County Public Library Director's Report -January 2025 Personnel: Facilities — • Bookmobile: The County approved $100,000 deposit. The Lions Club approved $100,000 and The Community Foundation of the Dan River Region approved $41,707.50 toward the bookmobile. We have requested $100,000 in this fiscal year budget from the County to cover the balance. We are still waiting on the final quote from Matthews Specialty Vehicle, but expect it to be between $350,000 and $400,000. The Bookmobile was just picked up from the mechanic's Jan 7a' after several weeks of work. The radiator on the generator went out causing the generator to leak. The mechanic could not find a part stateside, so they have ordered it, on a 200 day back order, from Italy. In the meantime, the mechanic soldered the part to stop the leak and the bookmobile staff will check it before going out each day and add water as needed. • Brosville: Carpet was installed, walls painted, and epoxy flooring applied at the Brosville Library during the last part of September. The branch opened back up to the public the second week of October. In addition, the doors and trim were all painted and a new circulation desk has been ordered. • Chatham: Storage sheds were ordered and delivered at both Chatham and Gretna. Maintenance will need to build a ramp for both locations. At that point, they will need to be re -inspected. We can however, begin filling the sheds. Both locations are hoping to have an area for booksale items and a separate section for storage. • Gretna: The roof was replaced at the Gretna branch the first week of December. The branch was closed for 3 days during roofing. We still have some funds left from the $160,000 provided by Delegate Phillips. We are still looking in to makerspace items and parking lot resurfacing. After the funding was announced, Gretna staff noticed a leak in the ceiling. Maintenance inspected the area and determined that the 25-year-old roof needed to be replaced. All other projects were put on hold to determine the cost of the replacement roof. After receiving estimates, the winning company will begin replacing the roof in mid -November. A storage shed that will double as a Booksale room and additional library space will also be purchased. Parking lot paving will be put on hold until the spring when the weather is warm enough, and dependent on remaining funding. • History Center: The History Center is working to organize some of their items. • Mt Hermon: A teen hit the mailbox at the Mt. Hermon Library. Maintenance replaced the mailbox and the teen's father made a donation to the Friend of the Library after having a discussion with the teen about safe driving. One of the sun shades on the patio was damaged by the wind. We are looking into replacing or repairing it. Budget — • I have a budget meeting on Wednesday, January 151n I will discuss Capital Improvement Needs, including $100,000 request for the balance of the3 Bookmobile, updates at the Chatham Branch, and possible futue Dan River Branch. o Admin/System: o Budget, Bibliostats, holidays, and weather... o Several PCPL staff volunteered at the Children's Village Community Light Show in Ballou Park. Programs & Activities: • Bookmobile: Hannah Moser, BS, MLS Candidate, Outreach Coordinator Bookmobile November Report November 2024 The month of November was filled with several passive activities for our Bookmobile patrons to enjoy! Patrons were provided with the opportunity to take a "Take N' Make Turkey Craft", "Thanksgiving Search and Find" Activity Worksheet, "Betty Crocker Pumpkin Pie" Receipe Sheet, and Fall Puzzles. The Bookmobile also held a "November Book Giveaway" during the month as a winner was selected at the end of the month after those interested in participating were able to have their names placed in the drawing/giveway. The book will be given to the winner during the month of December at the patron's Bookmobile stop. Displays were provided related to the Thanksgiving holiday as well as the November Reading Challenge/Event, "Dinovember". The "Dinovember" Reading Challenge involved adopting a plush or plastic dinoaaur, naming the dinosaur, and using the dinosaur as a reading r "' buddy throughout the challenge. Information was provided to one class ofR�D IN A D ' students in the form of an informational flyer at Heritage Academy andURS one class at Emmanuel School. Students were able to receive their ■ = f dinosaurs and name them as they were given an "Certificate of Adoption" and were asked to read to their dinosaur during the month of November Ell to complete the Reading Challenge. The flyer that was distributed to these lb students was provided by Ms. Cammie Johnson, Youth Services Specialist with the Gretna Branch Library. The flyer contained a OR Code that would allow a participant to go directly to the "Dinovember" Reading Challenge through Beanstack (an online platform used to track reading and completion of reading challenges). Unfortunately, we did not have any participation with the Smokey Bear Reading Challenge that was initiated during the month of October. We did not have any students turn in their Smokey Bear Reading Challenge paper Reading Logs during the month of November. We also did not have any participation during the month with the Fall Puzzles that were available to be taken by patrons during the month of November. We will plan to provide additional opportunities to allow patrons to borrow Winter Puzzles during the month of December. The Bookmobile required maintenance during the month of November as two front end slack adjusters were needed for the Bookmobile's brakes. The Bookmobile's 2025 Schedule was finalized during the month of November and Ms. Beth Marsh, Branch Manager with the Chatham Branch Library posted this information for us on the PCPL's website. I began to mail out Bookmobile 2025 Schedules to patrons that the Bookmobile would miss during the month of November due to the Thanksgiving holiday. Schedules were mailed out on November 15, 2024 and November 22, 2024 to patrons that did not receive a schedule throughout the month on the Bookmobile. I was also able to submit my order to Ms. Allison Irby, Youth Services Specialist with the Chatham Branch Library for the Collaborative Summer Library Program's materials for the Bookmobile for Summer Reading 2025. Furthermore, I was able to go to Matthews Speciality Vehciles with Ms. Rhonda Griffin, PCPL Library Director on November 8, 2024 in Greensboro, North Carolina to look at new Bookmobile options. We were able to get a tour of the facility and to select the type of vehicle we would like to use for the anticipated new Bookmobile. We also selected the items that we would like to see on the outside and inside of the new Bookmobile such as a microwave, refridgerator drawer, two staff desks, and rolling carts. On November 27, 2024, Ms. Rhonda Griffin and I were able to speak with a Matthews Speciality Vehicles representative via Zoom on the blueprints that were provided via email for the new Bookmobile. We discussed with the representaive any necessary changes that we wanted to see on the blueprints such as additional outlets on the vehicle to ensure that staff are fully equipped to provide services to patrons. Bookmobile December Report December 2024 The month of December was short for the Bookmobile due to the Christmas holiday. However, the Bookmobile was able to provide a few passive activiites/programs to include the following: Winter Wonderland Word Search sheets, Take N' Make Christmas Ornament Craft, Winter Weather Crossword Puzzle sheets, and Winter/Christmas Puzzles. We also had 5 Smokey Bear Reading Challenge paper logs turned in to the Bookmobile from students at Dry Fork Christian School. This program was scheduled during the month of October 2024 however, I was able to still collect these paper logs to go towards our passive program statistics for the month. Out of the 5 students, 0 students fully completed the challenge. However, 3 out of the 5 students logged that they read at least 3 books related to "wildfire prevention or the environment" as outlined in the challenge. The Bookmobile was approved for the requested $145.00 to go towards programming for the Bookmobile during the months of December 2024, January 2025, and February 2025.The Bookmobile also provided an active program during the month of December to include a storytime for the 1 class of three year olds at Twin Springs Elementary School. The story read to the students this month was "Little Blue Truck's Christmas" by Alice Schertle and illustrated by Jill McElmurry. The students were given a passive to go activity that included "Little Blue Truck's Christmas" — "Decorate the Tree" coloring sheets for the students to enjoy. Due to my upcoming maternity leave/leave of absence, the Bookmobile's Winter Reading Program was scheduled earlier this year. The Bookmobile's Winter Reading Program was scheduled to run from December 3, 2024 to December 31, 2024. Paper reading logs were provided to interested patrons throughout the month of December. Patrons were encouraged to at least track the total number of books that they read during the month of December for the Winter Reading Program. I will plan to include all patrons that visited the Bookmobile during the month of December in the program in the case patrons fail to turn in a paper log in January. The Bookmobile has been able to obtain Winter Reading Program prizes to include prizes that were purchased with the funds given by the Friends of the Chatham Public Library. Winners will be selected based on participation and/or total number of books read (such as at the schools —1 prize per winning class) in this year's Winter Reading Program. I plan to distribute prizes during the month of January and/or February prior to my maternity leave/leave of absence. During the month of December, the Bookmobile began to have some maintenance related issues as there was a coolant/antifreeze leak found coming from the generator's radiator. The diesel engine shop also found that the Bookmobile needed to have 2 hoses replaced. Due to maintenance, the Bookmobile was unable to go to Gretna Elementary School during the month of December to _ do storyt!me with the 2 classes of three year olds. We have been able to be flexible this month by using a county van at times when the ~~ Bookmobile is unavaialble in order to provide continued services to . . our patrons in the community. As of the end of December, the Bookmobile remains in the shop for these maintenance repairs. We . are hopeful that these issues will be resolved in the month of January. In addition, I was able to gather the requested data and information for Matthews Speciality Vehicles by the end of the month of December. This information included the mileage related to the Bookmobile's daily stops such as the mileage between stops and the approximate total mileage for each day. A representative from Matthews Speciality Vehicles informed myself and Ms. Rhonda Griffin, PCPL Library Director that they should be able to provide us with more information soon related to the new Bookmobile. At this time, Ms. Rhonda Griffin has made us aware that the Bookmobile has been awarded a total of $241,707.50 in grants. This is great news for the PCPL Bookmobile! • Brosville: From Branch Manager, Kim Matthews November 2024 Highlights Brosville/Cascade Library kicked off November with combining our needle crafting group with our afternoon craft group. By doing this we have added new members to the group who travels just to come and be with friends. As fall settled in, the youth department created pie slime. They used small pie pans to make delightful -smelling slime that they could take home and continue playing with. The autumn sensory jars were also a big hit, shaped like apples with adorable little stems on top. Dinonovember was a huge success, with 37 young participants adopting dinosaurs to read to throughout the month of November. The library is still reorganizing and getting things back in order from the renovations of the library. Patrons are coming in and everyone is enjoying the new look of the library. Adopt a dinosaur and read to your dinosaur November 1st- 30st. Stop by vour local branch to register! December Highlights - The Brosville/Cascade Library held a celebration for its recent remodeling at the beginning of December. It was a wonderful event filled with laughter, fun, and activities for all ages, including appearances by the Grinch, Santa Claus, and Garfield. Guests enjoyed a hot chocolate bar, snacks, and plenty of festive cheer. We extend our heartfelt thanks to everyone who contributed to the decorations, especially the stunning balloon arch. A special thank you to our honored guests —the Grinch, Santa Claus, and Garfield — and to the Library Board of Trustees and the Board of Supervisors for their support and participation in this joyous occasion. As we wrap up preparations for the holidays, the youth gathered with Ms. Alyssa to create winter snow globes and gingerbread houses. • Chatham: From Branch Manager, Beth Marsh — Chatham Library Manager's Report — September & October 2024 November and December were bustling months at the Chatham Library, filled with engaging programs for all ages. In November, programs like Tot Time and Little U continued to captivate our youngest patrons, with standout attendance of 39 at the November 20 Tot Time session and 18 at the November 7 Little U program. Cultural programming shone with the Day of the Dead event on November 2, which welcomed 13 participants to celebrate and learn about this vibrant tradition. School -aged children embraced creativity with the Art Challenge (10 attendees) and Lego Club (9 attendees), while passive programs like the Cricut Take & Make and Travel Take and Make Kits engaged 8 and 28 patrons, respectively. Adults were equally active, enjoying Bridge sessions with an average of 6 attendees and an engaging discussion at the Chatham Book Review with 18 participants. The month also saw festive community participation through the Shoebox Parade Contest and Voting, which drew 35 participants during the voting phase. Although Friday Paws on November 8 was canceled, it returned on November 22 with 10 patrons enjoying the calming presence of therapy dogs. December brought holiday cheer and a festive spirit to the library. Young children delighted in Tot Time and Little U, with 13 attendees on December 4 for Tot Time and 24 for Little U on December 12. The Pajama Jam event on December 14 was a major highlight, engaging 51 children in seasonal fun with a special visit from Santa Claus, who brought extra joy and excitement to the event. Creativity continued to flourish through programs like the Art Challenge (8 attendees) and Lego Club (3 attendees). Adults had a wide range of activities to enjoy, including the Christmas Bake -Off, Tasting Party, and Christmas Movie Trivia, while Bridge remained a popular staple, averaging 8 attendees per session. Additionally, Book Bingo was reinstituted on December 7, drawing 9 participants and marking a welcome return for this popular activity. The Children's Village offsite event on December 21 was a resounding success, attracting 633 attendees and showcasing the library's ability to connect with the wider community. Passive programming like the December Guessing Jar also kept patrons entertained, with 23 participants guessing throughout the month. On December 5, the Friends of the Library Meeting brought together members to discuss upcoming plans for the new year. During the meeting, the Friends of the Library Board voted to add two new board members, Pernita Echols and Karly Delgado, completing their membership and setting the stage for fresh ideas and collaboration in the months to come. Both months underscored the library's commitment to serving its community with diverse and enriching programming. From cultural celebrations and educational opportunities to festive gatherings and community outreach, Chatham Library looks forward to the new year with more fresh ideas! • History Center: The library is now offering three new databases through NewsBank: o Access World News — which includes Star Tribune 2003 — present o Black Life in America — African American experience from 18' century to present o Heritage Hub — US Obituaries and death notices from 1704 — today. Mt. Hermon: From Branch Manager, Tim Rogers — Report for Nov/Dee 2024 We ended the year strong with a flurry of activity. November started with Godzilla's 700' Birthday Party. Patrons made dinosaur feet and we created a cardboard city for them to smash. The program was well received and children as well as adults had a good time. Our youth services person, Sharon Jamison created the Homeschool Junction Program which has been a big hit with homeschoolers, especially their parents. With crafts and STEM activities for all ages the program continues to gain momentum. For November and December, Sharon created fun seasonal activities and learnings while parents enjoyed a few moments of peace. Reading Journal Craft created by our part timer Haley Farthing drew would be artists, writers and crafters. Haley taught patrons how to organize and illustrate their journals whether for travel, movies, books etc. November ended with the T-Rex Dino Party. Patrons were treated to tea and snacks as well as digging for dinosaur bones courtesy of Sharon who made a special sandbox with plastic dinosaur bones. December is normally a slow month but we decide to change that with great seasonal programs. We added Paws and Read with a visit with Summit, the certified Earline Grant not only decorated the library in a Grinch theme she also conducted a diamond art ornament class. Patrons left with colorful ornaments for their trees and some even left for our library tree! The big hit for the season had to be our Grinch and Bites with parents and kids dressed in pajamas decorating gingerbread cookies, reading the Grinch story while the animated movie of the Grinch played softly in the background. All expressed gratitude for the program and express appreciation that something was offered for families to do at this busy time of year. A great ending to a great year at the Mt Hermon Library. Children aged 0-17 (or their parent/guardian if they were unable to read yet) were invited to , .. — _ r adopt a dinosaur and read aloud to it while tracking their reading progress on Beanstack. AL total of 43 dinosaurs were adopted, and 18 participants signed up for the challenge, with I I of them actively reading. Three readers successfully completed the challenge by reading 600minutes in the month of November. Altogether, participants logged a total of 4,106 minutesof reading. The library also hosted a field trip for all three Pre-K classes from Gretna Elementary,where the children enjoyed a storytime and explored the library. It was a great opportunity for parents to learn about the resources available at the library - We continued offering storytimes for both of the 3-year-old classes at Gretna Elementary, featuring fun, fall-themed activities. Teen programs this month included making miniature foam garlands for Thanksgiving, along with a festive feast of Subway sandwiches, chips, cookies, and drinks. The teens also enjoyed some engaging LEGO activities. Reading Paws, our therapy dog program, had two sessions this month, with an increase in the number of children reading to the dog. This new initiative continues to be a hit with our patrons. School -age children had a great time in the after -school programs, building with LEGOs and creating fall windsocks during our art activity. Storytime and Baby Tales also continued with fall-themed activities, delighting young attendees. On November 19th, we hosted a lively Bingo event, where seven participants enjoyed 10 rounds of the game. Each month, we attract new faces, and we are so grateful to everyone who joins us for this fun program. 2tr_On November 20th, patrons of all ages gathered for a special screening of A Charlie Brown Thanksgiving. Before the movie, attendees created Snoopy's doghouse and colored placemats. During the film, we served themed cups filled with jelly beans, popcom, pretzel sticks, and "toast" (French Toast Crunch), so everyone could enjoy the same meal as the Peanuts characters! Additionally, the library received a new shed, which will as storage for library materials and the Gretna Friends o Library book sales. The staff and 1 worked together to mol items, including books for the book sales, tables. chairs, other library equipment, from the old shed into a storage pc It was a month fillcd with fun. VA 24557 ax251-319.3230 DECEMBER 2024 INONTHLV REPORT r1w Gretna staff worked hard throughout December, providing our library patrons with a variety of festive activities both inside and outside the library Our decorating queen Jeanette, along with Macy, transformed the library with beautiful holiday decor. Jeanette also created a photo backdrop featunng the words "Merry & Bright" and large balloon "colored lights' that patrons used to take holiday pictures. We offered several take -and -make craft kite, including a Cricut snowy lantern house craft with a battery -operated tea light, as well as a 3-D Gingerbread Clouse that patrons could color. The staff also celebrated a Iloliday Spirit Week from December 16 20. Each day, staff dressed according to a theme. Merry Monday in Green & Red, Twinkle Tuesday, Santa Hat Wednesday, Reindeer Antlers Thursday, and Ugly Christmas Sweater Friday Every day, staff participated in the themed attire, and we took fun pictures. Our patrons enjoyed seeing die staff making their library visits more festive. On Friday, December 20, we had a special surprise The Grinch made a visit, posing for photos with both library patrons and staff The Grinch also visited the BrosvilleXascade and Mt Hermon branch libraries during December. Several of our patrons showed their appreciation by bringing in treats for the staff, including candy, cookies, muffins, and even hand -knitted cloths for each of the staff members We are truly fortunate to have such wonderfid library patrons. On December 17, the library hosted Bingo /ill HexAs, facilitated by our part-time library assistant, Macy We had 18 attendees, including 12 new faces who had never attended before Everyone had a 6ieat time, and they promised to retum for future Bingo sessions. May also organized out 2nd C arth of Kukiiiess event This year's recipients were our Pint Res wmlen, where patrons could pick up a card to color, decorate, and write a message for local first responders. The finished cards were delivered to the Gretna Police Department aid the Gretna Fire and Rescue personnel. The Youth Services Department wTapped up the winter term with Christmas- themed storytimes, where kids practiced rhythm recognition using pmgle bells The youth also participated tit a Lego program, creating winter wonderland scenes, including an electric sleigh For Art Explorers, the kids made ugly Christmas sweater ornaments We also soft -launched the 7 en Mm'!mm program, which saw one participant this time The activity was collage -making, and despite the small tumout, it was a lot of fit Our Youth Services Specialist does an amazing Job engaging with the kids. The staff is now looking forward to a well -deserved holiday break, giving us time to reset and recharge for die new year and all the exciting things in store for the Gretna Branch Library. .Sub.tined by Adei.. aedpri.
